ORGANISING A BALLOON RACE

1 Balloons can be sold just on the day of your race and if the occasion attracts many visitors the event may prove very successful.

To maximise profits we recommend, where possible, pre-selling the balloons. One way of doing this is mentioned below. A combination of pre-selling and selling on the day has been shown to be the most popular and financially rewarding.

The BALLOON SALE FORM should be printed out and duplicated for each child, taken home and balloons sold for at least £1 each. It is important to state on this form the price that balloons are being sold for and the date by which all monies should be returned to the school. We recommend that this date is a minimum of 21 days before your planned release of balloons. Please send your completed order form at least 18 days before the event date.

2 To further increase your profits try to find a sponsor. A local business may contribute towards the cost of a balloon race or offer an exciting prize in return for having their name printed on the tickets.

3 Display posters around the school to publicise the event.

4 Make sure the children understand that the balloon sale form must be returned to school by the specified date, with money for the balloons sold.

5 When all (or most) forms have been returned, place in a pile or piles and start numbering. 1 should be written by the first name on the first sheet, 2 against the next name and so on, as in the example shown below:

6 When you come to the last name on the last sheet, the number should correspond to the number of pounds collected if you are selling the balloons for £1 each.

7 You now know how many balloons are required. Complete and return to us the equipment order form so that we have it at least 18 days before your proposed release date. To avoid delays, we recommend sending by fax or using the online order form. We will send a BOC hire agreement for the balloon gas equipment needed for the race pack chosen. Please complete this form and return to us as soon as possible.

8 We will send:

a) The appropriate number of tickets according to your order. If ordering unaddressed tickets we suggest printing labels using a laser printer and sticking them on the reverse side of tickets. We can arrange for ticket numbering. Alternatively we suggest you number the tickets using a permanent marker.

b) The appropriate number of race balloons.

c) A free of charge reusable release net which holds up to 175 x 10" balloons. Additional nets can be purchased for £8.00 including VAT.

d) Detailed advice on inflation, sealing and ticketing of balloons. Although this is quick and easy, it must be done by adults. A minimum of two adults is recommended.

e) Any other equipment ordered e.g.: sealing equipment, nets, ribbons, etc.

9 When an account has been opened for you, BOC will phone with an account number. When you have this a gas supply can be arranged which can be a collection from a local agent or a delivery by BOC. 10 IT IS RECOMMENDED THAT BALLOONS ARE RELEASED WITHIN AN HOUR OF INFLATION. This may not be practical with larger releases, but the sooner balloons are released after inflation, the further they are likely to go.

11 Most schools prefer children to release the balloons themselves, either individually or as a class. This is the simplest method of release and the one that we recommend. A mass release can look effective and release nets can be purchased from us for this purpose.

The local police should be informed of your balloon release.

The Civil Aviation Authority should be contacted if 5000 or more balloons are being released. If your release is fewer than 5000 balloons, no action need be taken unless an airport is close by. The CAA telephone number is 0207 453 6599 and ask for Mr Miller.
